For a packaging shipment, confirm the current Incoterm and named place, customs and duty responsibility, freight mode, chargeable weight, port and final-mile scope, and delivery date. Under Incoterms 2020, DDP and DAP are current rules; DDU was removed in the 2010 revision. Total lead time should separately show approvals, materials, production, quality review, export handling, transit, customs, and final delivery.
Use a current Incoterm and a named place
DDP means Delivered Duty Paid and places the responsibilities assigned by that rule on the seller through the named destination, including import clearance and duties. DAP means Delivered at Place and assigns import clearance and duties to the buyer under that rule. The contract should name the exact place and Incoterms version.
DDU is an older term removed when Incoterms 2010 introduced DAP. If a quotation informally says DDU, ask the parties to replace it with the intended current rule and state customs, tax, fee, unloading, and final-delivery responsibilities clearly.
Compare express, air, and ocean freight
Parcel express may suit urgent or smaller shipments; air freight can support time-sensitive larger shipments; consolidated ocean or full-container freight can reduce cost for suitable volumes but adds planning and transit variability. Availability and economics depend on origin, destination, dimensions, weight, commodity, service, and season.
Request chargeable weight or volume, pickup, export handling, main freight, fuel or security surcharges, customs brokerage, duties and taxes, destination charges, appointment or residential fees, and final-mile delivery scope. Compare total landed cost rather than a freight rate alone.
Build the total packaging schedule
Separate specification and engineering, samples, material preparation, tooling, dieline and artwork approval, production, curing or conditioning where applicable, quality review, export handling, transit, customs, and final delivery. Identify which activities can overlap and which require prior approval.
The schedule should state when its clock begins. Payment alone may not release production if dimensions, specifications, artwork, materials, tests, or approvals remain open.
Protect the launch with written assumptions
Record the required-in-hand date, acceptable delivery window, quantity, package dimensions, number of cartons or pallets when available, destination, unloading constraints, customs party, broker, current Incoterm, named place, and contingency plan.
Transit estimates are not guaranteed arrival dates unless the service and contract explicitly say so. Leave time for customs, weather, capacity, port, carrier, appointment, and final-mile variability.
